The wait is the real value. A made-to-order espresso drink takes a few minutes, and that's time a visitor spends standing in your booth, relaxed and open to a chat. Compare that with a candy bowl, where people grab and go without slowing down.

The drink keeps working after they walk away. A branded cup or a logo printed on the foam travels the expo hall and starts "where did you get that?" conversations with people who haven't found your booth yet.

What did Navy Federal's coffee cart setup look like?

We ran our espresso cart with co-branded signage, so Navy Federal Credit Union and Bedrock shared the cart. Drinks were made on-site, from lattes finished with latte art to cold foam drinks. How do you turn the coffee line into conversations?

A coffee cart only pays off if your reps use the wait. A few simple habits help:

  • Scan badges when people order. The guest is already standing there, so a quick scan feels natural instead of pushy.

  • Ask one easy question. "What brings you to the show?" lands better while someone waits for a latte than it does in the aisle.

  • Put reps where the line forms. Stand beside the cart, not behind a table, so the conversation happens face to face.

  • Hand off at pickup. Keep one rep near the pickup spot to wrap up the conversation, share a card or book a follow-up meeting.

  • Keep the menu short. A few lattes, a cold foam drink and a non-coffee option like matcha or chai keep the line moving without feeling rushed.

Can a coffee cart handle all-day and multi-day conferences?

Yes. We serve conferences all day or across several days in a row. Booth traffic tends to come in waves around opening, breaks and the end of sessions, so share the session schedule with your caterer so staffing and prep line up with those peaks.

For high-traffic shows, add-ons help. Bottled lattes give people a grab-and-go option when the line gets long, a high-volume drip station covers early rushes, and a cold brew station with nitrogen infusion gives the afternoon crowd something different. For the biggest events, we can run multiple cart setups to serve 500+ guests.

For multi-day shows, ask your venue about overnight storage for the cart in your booth or a secure area. Corporate events also get simple flat-rate invoicing, so there's no per-drink tally to reconcile after the show.

What logistics should you plan for conference booth coffee?

This is where booth coffee either runs smoothly or turns into a headache. Check each of these early:

  • Venue food and beverage rules. Many convention centers and hotels have an exclusive catering provider. Check your exhibitor manual for outside food and beverage or sampling policies, and ask for approval early, since it can take time.

  • Power. Espresso machines draw a lot of power. Most shows require you to order booth electrical through the official contractor ahead of time, and we'll tell you exactly what to order.

  • Booth footprint. The cart needs its own space plus room for guests to line up inside your booth. A standard 10x10 booth gets tight fast, while a 10x20, corner or island booth gives the cart and your reps room to work. Ask us for cart dimensions before you finalize your layout.

  • Water. Booths rarely come with plumbing, so plan how fresh water comes in and used water goes out. We'll work through that with you ahead of time.

  • Lines. Many shows don't allow lines to block the aisle. Place the cart so the line forms inside your booth, and have a faster option like bottled lattes ready for peak times.

  • Move-in and move-out. Know your load-in window, the freight entrance and any venue rules about who can move equipment on the show floor.
