Brand Activation Coffee Cart Recap: CBS Sports at IU

Inflatable IU mascot behind the CBS Sports and Paramount+ branded Tap Cart, a brand activation coffee cart on the Indiana University campus

A brand activation coffee cart gives people a reason to stop, a branded drink to carry around, and a few minutes with your team while it's poured. That's how it played out when we brought our Tap Cart to Indiana University for a CBS Sports brand activation. Here's what the setup looked like and what we'd tell any brand planning an activation of its own.

What did the CBS Sports activation at IU look like?

The event was [ALINA: event name and date]. We set up our Tap Cart outdoors on campus, right next to a CBS Sports tent and a step-and-repeat backdrop. CBS Sports and Paramount+ branding ran across the cart, the signage and the napkins, and drinks went out in blue cups.

An inflatable IU mascot stood right by the cart, so the whole corner was hard to miss. The outdoor crowd was big, about [ALINA: approximate crowd size], and fans were cheering with drinks in hand. Over the course of the event we poured [ALINA: which drinks we poured and roughly how many].

Emily C. summed up the experience in her review: "We used Bedrock Coffee Co. for a CBS Sports brand activation at Indiana University and they were amazing! They were so easy to work with and made the whole process smooth, and they were super accommodating with all our asks."

That last part matters more than it might seem. Activations come with a lot of moving pieces, from brand approvals to campus logistics. Your coffee caterer should take pieces off your plate, not add new ones.

Why does a branded drink draw a crowd?

A free, made-to-order drink is an easy yes. People who walk right past a table of handouts will stop for a cold drink or a latte, and once they're in line, they're standing in your space and looking at your branding. That's time with your audience that's hard to get any other way.

The drink keeps working after they leave. A branded cup travels across campus, shows up in photos and starts "where'd you get that?" conversations. At IU, the cart sat next to the step-and-repeat, so guests could grab a drink and pose in front of the backdrop in one stop.

Coffee also lands differently than swag. A good drink feels like hospitality instead of a sales pitch, and that's the kind of first impression brands want tied to their name.

Why the Tap Cart fits big outdoor activations

Speed matters at an activation. If the line looks long, people keep walking, and every person who keeps walking is a missed impression. Our Tap Cart pours nitro cold brew, matcha, iced teas, refreshers and customizable drinks straight from the tap, and it's built to serve 300 guests in 2 hours.

Tap drinks also keep ordering simple. There's no long menu to read or complicated order to explain, which keeps the line moving at peak times. For bigger crowds, we can add bottled lattes for grab-and-go, a cold brew station or multiple cart setups to serve 500+ guests.

Our espresso cart is a better fit when you want a slower, handcrafted moment, like a VIP area or a smaller guest list. That's also where our latte art printer comes in, since it can print your logo right on the foam.

Where can your brand show up on a coffee cart?

At IU, CBS Sports and Paramount+ branding showed up on the cart, the signage and the napkins. When you plan a brand activation coffee cart, think through each of these touchpoints:

  • Cart wrap or signage. A custom wrap puts your logo and colors on the cart itself, so it reads as part of your activation from across a lawn or an expo hall.

  • Cups. We can brand cups with custom stickers or stamps. Cup color is part of the look too, so pick one that sits well with your palette.

  • Napkins. At IU, branded napkins sat right next to the tap handle, one more spot for the logo at eye level.

  • Latte art. On the espresso cart, our latte art printer prints logos or custom designs on the foam. It's a small detail made for photos.

  • Drink names. Custom menus and signature drinks let you name drinks after a show, a team or a campaign. For an IU Champions Dinner, we served themed lattes named "Tailgate," "Candystripe" and "Hoosier's Favorite."

  • Placement. Set the cart next to your tent or backdrop, like we did at IU, so the drink and the photo happen in the same place.

What should you send before booking a brand activation coffee cart?

Smooth activations start with good information up front. Here's what to send your coffee caterer as early as you can:

  1. Logo files. Vector files (SVG, EPS or PDF) work best for wraps and printing, plus a high-resolution PNG. Include any brand guidelines on logo spacing and backgrounds.

  2. Brand colors. Hex and Pantone values help match signage, cups and wraps to your palette.

  3. Expected crowd. A rough attendance number and the time you expect the peak help us decide between one cart, the Tap Cart or several setups.

  4. Power and location. Tell us where the cart will stand, whether it's indoors or outdoors, and what power is nearby. Outdoor campus spaces don't always have outlets close by, so check this one early.

  5. Timing. Share load-in time, service start and end, and any moments you want drinks ready, like a pregame rush or a scheduled giveaway.

  6. An on-site contact. One person who can answer questions on the day keeps small problems small.

  7. Approvals. If drink names, signage or social posts need legal or brand sign-off, build that time into your plan.

Planning an activation in Bloomington or on a college campus?

Campus activations have their own details. You may need university approval for the space, a plan for where vehicles can park and unload, and a sense of how far the cart has to roll to reach the setup spot. We serve Bloomington and all of Central Indiana, so IU events are well within our range. Learn more about our coffee cart catering in Bloomington.

In Indianapolis, the same planning applies to activations at stadiums, festivals, conferences and store openings. You can see how we handle custom branding and setups on our brand activation coffee cart catering page. Every quote is custom and flat-rate, and we reply within a few hours.

Frequently asked questions

How far ahead should we book a brand activation coffee cart?

As early as you can, especially if you want a custom wrap, branded cups or printed signage. Artwork needs time to design, approve and produce. Send us your date and location and we'll tell you what's realistic for your timeline.

Can you put our logo on the drinks?

Yes. We can brand cups with custom stickers or stamps, and our latte art printer can print your logo on the foam of espresso drinks. We can also name signature drinks after your brand or campaign.

Should we book the espresso cart or the Tap Cart?

The Tap Cart is built for speed and big crowds, which makes it a strong fit for outdoor activations and conferences. The espresso cart works well when you want handcrafted drinks and logo latte art for a smaller or VIP crowd. For large events, we can run multiple setups.

Do you travel outside Indianapolis for brand activations?

Yes. We serve Indianapolis and Central Indiana, including Carmel, Fishers, Westfield, Zionsville, Greenwood, the Noblesville area, Columbus and Bloomington. Tell us where your event is and we'll confirm the details.
